Terms and Conditions

Before booking one of our shepherds huts or self catering cottages please take the time to read these Terms and Conditions. They include important information about your booking, the accommodation, site facilities and your stay with us. The lead guest booking with us must be aged 18 or over. We have a strict no pets policy.

Booking Policy Summary

  • The lead person booking must be aged 18 or above at the time of booking.
  • There is a strict no pets policy, either staying or visiting the accommodation.
  • No additional visitors.
  • Check-in is 4.00pm onwards. You will not be able to access your accommodation before 4.00pm due to our housekeeping policy.
  • Check-out is 10am. Unfortunately we are unable to offer late check-out due to our housekeeping policy.
  • All bed linen and towels are included.
  • This is a small site, so please respect your neighbours, keep the noise to a respectable level and make sure you out all of your litter in a bin.
  • You must be quiet between the hours of 11pm and 7am

If you are found to be in breach of these conditions during your stay we reserve the right to ask you and your party to leave, with no refunds given.

Cancellation Policy

In the event that you are unable to stay with us, we are not able to provide a refund or rearrange your booking. This includes adverse weather conditions which might affect your travel.

We suggest that you take out suitable travel insurance in the event that you need to cancel your stay. 

If you need to cancel and can give us at least 4 week’s notice before your original  check-in date we may be able to rearrange your holiday. If you dates move between seasons there may be a cost incurred.

We do not offer refunds or change of dates for Covid 19 related illness. 

In the event that we have to cancel your stay we will notify you and discuss the alternative arrangements.

No Shows

If you do not check-in on your travel dates we will not provide a refund.

Please check your travel dates carefully as if you turn up on the wrong dates we will not be able to accommodate you.

Travel Insurance

We highly recommend that you take out suitable travel insurance for your stay with us. This will cover you in case you can no longer stay with us, as well as the cost of any damage you cause during your stay.

Payment Policy

At the time of booking you will be asked to pay a 20% deposit for the entire cost of your stay.

We will request the remaining balance 6 weeks before your check-in date. This will be in an email.

If your stay is less than 6 weeks from the time of booking, we will collect the full payment at the time of booking.

You will be asked to store a card before your check-in date for a security deposit authorisation. Please refer to the Security Deposit section of our Terms and Conditions.

If you do not pay the full balance 6 weeks before your check-in date, we reserve the right to cancel your booking.

Damage

If you or any of your party cause damage to the accommodation, the facilities or the exterior of the accommodation, or the site in any way, we reserve the right to collect payment from you to cover the cost of the damage.

Damage can include but is not limited to:

  • Water damage 
  • Misuse of property and items
  • Burns including cigarette burns and smoke damage
  • Glass items in/around the hot tub (including bottles, glasses)

Chipped and broken crockery including plates can be paid for in the shop, and new items can be purchased. 

Please report any damages to us before you check-out. Breakages and damage must be paid for.

Cleaning & Housekeeping

The Woodhead Farm Team will clean the accommodation and fully restock the hot tubs between each stay.

You are responsible for leaving the accommodation in a tidy manner before you leave, including putting rubbish in the bins and washing up any dirty kitchenware or using the dishwasher.

A charge of £15 will be made for any pods that have been left in an unsatisfactory mess.

Camp Fires and Fire Pits

Campfires and guests’ own barbecues are not permitted on site.

Guests’ own wood or charcoal is not permitted. Fuel for our fire pits must be bought from Woodhead Farm and the fire pit must be used in the designated area outside the accommodation for safety reasons.

Barbecues

Guests are not permitted to bring their own barbecue. You may purchase a Barbecue pack from Woodhead Farm which includes the barbecue and tools.

Parking

Only one vehicle per pod, Cottages two vehicles except by prior arrangement. 

There is a designated parking place next to each pod. Please do not park on other areas of the site.

Vehicles are left at your own risk. We accept no responsibility for damage or theft on the site.

There is an electric charging port available for guests to use onsite, Do not charge vehicles from your accommodation.

Smoking

We operate a strict no smoking policy inside the accommodation, This includes tobacco products and e-cigarettes.

Guests are permitted to smoke outside the pod, or in the canopy, but you must dispose of your cigarettes use the ashtrays provided.

Smoking in the hot tub is STRICTLY prohibited.

Pets

There is a strict no pets policy at Woodhead Farm, including dogs.

Stag and Hen Parties

Unfortunately we do not take Stag and Hen Parties 

Keys

Any lost keys will be charged at £60 as we will have to replace the key and the locking system for security reasons.

Loss & Theft

Woodhead farm accept no liability for belongings that are lost or stolen on the site, including in and outside the pods.

Hot Tub

Please do not smoke in the hot tub, take glass or breakable items into the hot tub or any electrical items.

Glass broken in a hot tub will have a charge of £500 due to hiring another hot tub whilst hot tub is removed and deep cleaned.

We provide plastic glasses to use in and around the hot tub. Please use these and DO NOT use glass in and around the hot tub.
